Refund and cancellation policy
This policy covers consulting engagements, workshops, and deposits for inventory control work with Utilitybranchcore Consulting Co., Ltd.
Eligibility
Refunds apply to fees paid directly to Utilitybranchcore for consulting engagements described on this site. Website estimate requests themselves carry no charge.
Timeframe to request
Refund requests should be sent in writing to hello@utilitybranchcore.click within 14 days of the event giving rise to the request (for example, cancellation confirmation or disputed invoice date), unless the engagement letter sets a different window.
Full refunds
A full refund of amounts paid is available if we cancel an engagement for reasons on our side and no mutually agreed alternative dates are possible. If you cancel in writing more than 10 business days before the first scheduled field or workshop day, and no substantial preparatory work has been delivered, prepaid fees are refundable minus any non-recoverable travel already purchased with your written approval.
Partial refunds
If you cancel between 10 and 3 business days before the first scheduled day, we may retain up to 40% of the project fee to cover preparation already performed (document review, scheduling, and draft agendas). Work completed before cancellation—such as a finished desk review section—is charged proportionally and is not refundable.
Non-refundable items
- Completed workshop sessions that already took place
- Delivered written findings or control plans
- Approved third-party travel or venue costs incurred for your engagement
- Deposits explicitly labeled non-refundable in a signed engagement letter after fieldwork has started
Deposits
Deposits reserve calendar dates. They convert toward the final fee when work proceeds. If you cancel inside 3 business days of the first scheduled day, the deposit is generally retained as a cancellation charge unless we fill the slot with another client for the same dates.
Rescheduling
You may reschedule once without charge if you give at least 5 business days’ notice and alternative dates within 60 days are available. Later or repeated reschedules may incur a scheduling fee stated in writing before confirmation.
No-shows
If key client participants fail to attend a booked workshop or site day without notice, that day is treated as delivered for billing purposes. We will offer one makeup slot within 30 days when calendars allow; makeup slots are not an automatic full refund.
Work already started
Once desk review or field observation has begun, fees for completed stages remain payable. Unused future stages may be cancelled under the partial-refund rules above.
Refund process and timing
Approved refunds are processed to the original payment method within 14 business days after approval. Bank transfer refunds may take longer depending on your bank. We confirm the amount and method by email.
